General Summary

 

 Sales Support Associates will play a vital role in ensuring the efficient and effective operation of sales, customer service,  and order fulfillment processes of HOTBOX distribution and fulfillment facilities. Plays active role assisting with reporting in various departments. This includes collaborating with sales, order fulfillment, delivery, accounts receivable, and training departments to gather and analyze data, generate reports, and provide insights to support decision-making and performance evaluation. Sales Support Associates will be responsible for compiling sales performance metrics, order fulfillment status reports, delivery tracking data, accounts receivable aging reports, and training effectiveness evaluations. By actively supporting reporting and other sales related  activities across departments, Sales Support Associates help to ensure transparency, accountability, and informed decision-making within the organization, ultimately contributing to the overall success and efficiency of sales and order fulfillment operations.



 

Essential Job Functions

 
  •  Acting as a liaison between departments: 

Sales support associates need to effectively communicate and collaborate with various departments such as sales, order fulfillment, delivery, accounts receivable, and training to ensure alignment and coordination of activities.

  •  Supporting sales activities: 

This can include assisting with customer inquiries, processing sales orders, preparing sales and other reports, and maintaining customer databases.

  •  Order fulfillment: 

Coordinating with the fulfillment team to ensure timely and accurate processing of orders, managing inventory levels, and addressing any issues or delays in fulfillment.

  •  Delivery coordination: 

Working with the admin and delivery teams to assist with the schedule and coordinate deliveries, track shipments, and address any delivery-related issues that may arise during or after the delivery has been completed.

  •  Accounts Receivable (AR) support: 

Assisting with invoicing, payment processing, and resolving any billing or payment discrepancies to ensure timely and accurate AR management as needed.

  •  Product knowledge training: 

When necessary , providing training and support to HOTBOX AEs and account’s  staff on product knowledge, features, benefits, and any updates or new products to ensure they are well-equipped to assist customers effectively.

  •  Customer service: 

Providing excellent customer service by addressing customer inquiries, resolving issues or complaints, and ensuring customer satisfaction throughout the sales and order fulfillment process.

  • Data management: 

Maintaining accurate records of sales transactions, order status, customer information, and other relevant data to support business operations and decision-making.

  • Problem-solving: 

Identifying and resolving issues or challenges that may arise in the sales, order fulfillment, delivery, or AR processes to ensure smooth operations and customer satisfaction.

  • Continuous improvement: 

Proactively identifying areas for process improvement, efficiency gains, or cost savings within the sales and fulfillment operations and collaborating with relevant departments to implement improvements.



 

Minimum Job Qualifications

 
  • Problem -Solving Abilities to identify issues, troubleshoot problems, and find solutions to ensure smooth sales and order fulfillment process.
  • Strong mathematical, analytical, and organizational skills
  • Computer Proficiency (expertise in CRM systems, inventory management software, Excel, MS tools for data entry, reporting and communication)
  • Adaptivity and Flexibility to handle changing priorities, tight deadlines, and evolving business needs in a dynamic HOTBOX Distribution environment.
  • Reporting Skills to generate reports, analyze data and provide insights to support decision-making, performance evaluation, and process improvements in sales and order fulfillment operations
  • Team Player and ability to work collaboratively with the sales team, delivery team, and other departments to ensure seamless operations and customer satisfaction.
  • Excellent oral and written communication skills
  • Proven ability to handle multiple projects simultaneously
  • Strong attention to detail to ensure accuracy in order processing, customer information, and data entry tasks.
  • Must be at least 21 years of age

Physical Requirements

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  • Repetitive walking, standing, sitting, bending, stooping as required
  • Ability to carry boxes, products, and other necessary facility related items
  • Ability to safely lift boxes up to 35 lbs
  • Ability to lift up to 20lbs intermittently
 

Expected hours of work

 
  • This is a full-time position 
  • Flexibility to work weekend and holidays 
  • Typical work days and hours are between Monday through Friday, 7:30 a.m. to 5:30 pm 
  • Schedules are subject to change
